POSITION SUMMARY

The Human Resources Assistant provides support to the Human Resources Department in the delivery of services, policies and programs of the Department. In particular, the incumbent provides support in the area of Recruitment & Selection, Human Resources Records Management, Training & Development, Employee Communications, Compensation & Benefits Administration, Employee Performance Management, and Employee Reward & Recognition.

MAJOR POSITION ACCOUNTABILITIES

Recruitment & Selection

  • Provides support in the recruitment and selection process, including acknowledging and tracking all job applications received, circulating applications to the hiring manager, and arranging interviews.
  • Manages the Port’s “Careers” email account.
  • Provides support in the on-boarding of new hires to the organization.
  • Prepares itinerary and coordinates visits of out-of-town job candidates to Prince Rupert.
  • Assists out-of-town new hires in sourcing for professional household movers and in search for temporary accommodation in Prince Rupert.

HR Records Management

  • Updates and maintains the Human Resources Management System database and all employee records and files. Ensures employee records and files are maintained in accordance with statutory requirements and company policies and procedures.
  • Updates on a regular basis the Staff Emergency Contact Information.

Employee Communications

  • Provides support in the administration of the Annual Employee Engagement Survey and Employee Council meetings.
  • Updates and maintains PRPA organizational charts and upload to FileHold for reference by all employees on a regular basis.

HR Policy Development

  • Provides support in the updates and maintenance of the Employee Handbook and the Managers Tool Kit.
  • Maintains database of HR Guidelines and Policies & Procedures. Ensures new/revised HR policies and related HR Forms are uploaded to FileHold for reference by all employees when required.

Employee Relations

  • Actively seeks out employees to develop and promote trust and team spirit in the organization.

Employee Performance Management

  • Assists in the maintenance of all documentations pertaining to the Staff Performance Evaluation Plan (PEP) and Staff Variable Incentive Plan (VIP).

Total Compensation

  • Maintains database of position descriptions.
  • Assists in the participation in external compensation and benefits surveys.
  • Provides support in the administration of the Employee Annual Performance Management System.
  • Provides support in the documentation and administration of the Job Evaluation Program.

Employee Welfare

  • Actively participates as a member of the Social & Recreation Committee (SRC) in organizing social and recreational activities for staff and family members.
  • Coordinates the sending of flowers or fruit baskets to employees away on sick leave.

Employee Rewards & Recognition

  • Administers the Long Service Award Program.
  • Organizes farewell parties for departing employees, including sourcing for appropriate farewell gifts for employees leaving the organization.

Change Management

  • Supports the organization’s change efforts. Interacts with, and influences employees to positively embrace organizational and technological changes.

Strategic Human Resources Management

  • Provides support in preparation of the HR Dashboard.
  • Works on special HR projects assigned by the Director, Human Resources (for example, designing and coordinating HR-specific on-line employee surveys).

Training and Development

  • Provides support in the employee training and development database.

WORKING CONDITIONS

  • Works predominately in an office environment.
  • Regular, full-time position (37.5 hours per week). Regular working hours are Monday to Friday, 8:00 AM to 4:30 PM, with one-hour lunch break (unpaid).

POSITION SUMMARY

Reporting to the Manager of Real Estate, the Real Estate Associate is responsible for the efficient and effective administration of PRPA’s property portfolio and acts as the primary liaison between PRPA and its tenants.

MAJOR POSITION ACCOUNTABILITIES

  1. Administers PRPA’s electronic property management system to maintain PRPA’s real property corporate records in MFiles. As the subject matter expert on PRPA’s real property management system, coordinates with other departments to ensure records are accurate, complete, and up-to-date. Working with the support of GIS technician, ensure accurate mapping of PRPA real property and tenants in PRPA’s GeoPort GIS web mapping application.
  • Administers and liaises with PRPA tenants to ensure compliance with lease provisions, maintenance, construction, and other lease matters in coordination with the Asset Management, Operations, Commercial & Regulatory Affairs, Project Engineering, Finance and Sustainability departments.
  • Understands and supports the Canada Marine Act, Prince Rupert Port Authority Letters Patent, Orders in Council and other historical documents with respect to property matters in order to ensure compliance and accurate record keeping.
  • Supports the preparation and filing of relevant documents for property acquisitions and rights, updates to PRPA’s Letters Patent, and registration of other property covenants. Undertakes research, preparation memos and correspondence in the administration and correction of land title records.
  • Supports and prepares a variety of land reports including appraisals, surveys, property condition assessments, and feasibility studies. Prepares simple internal property and rent valuations and recommendations for senior staff.
  • Prepares annual updates for the Directory of Federal Real Property and BC Assessment. Tracks key performance indicators for the organization’s property.
  • Supports the administration and requests for information of PRPA’s PILT obligations and property tax files.
  • Through research, data collection and analysis, supports the Manager of Real Estate, senior leadership, and internal and external stakeholders with information requests related to property and tenant matters.

JOB SPECIFICATIONS

Formal Education

Post-secondary diploma or University degree in a related field or one of the following designations, or equivalent work experience: paralegal, property management, real estate or appraisal license

Related Experience

Minimum 2 years’ experience in at least one of the following areas: real estate or property law, planning and development, conveyancing, surveying, or appraisals.

POSITION SUMMARY

Reporting to the Vice President, Public Affairs & Sustainability, the Administrative Assistant provides executive assistant functions and administrative support for the department.

MAJOR POSITION ACCOUNTABILITIES

  1. Maintains the Department’s office records management system and coordinates the organization of the Department’s records.
  2. Maintains a department administrative tracking system for expense claims, business travel, and staff schedules.
  3. Coordinates accommodating visiting delegations to the Port of Prince Rupert, including supporting itinerary development and travel logistics for the department.
  4. Coordinates business meetings, luncheons and other special functions.
  5. Supports the Public Affairs and Sustainability Department travel needs.  Schedules hotel/flight accommodations & procures necessary documentation such as registration, passport and payment process all expense reports.
  6. Provides support services (including coordinating management reporting, budget reporting, coordinating conference and video conference calls, coordinating and scheduling meetings and composing a record of meeting deliberations etc.)  in support of department activities.
  7. Supports coordination of public affairs programs including community information forums, requests for donations and community investment fund applications, and other public engagement initiatives.
  8. Ensures that the department’s Customer Relationship Management database is updated to track communication and engagement with key stakeholders.
  9. Responsible as point of contact for Public Affairs and Sustainability Department in responding to information requests and directing queries to appropriate program leads.
  10. Provides administrative support (including preparing correspondences and undertaking research assignments) to all staff in the Department.
  11. Participates in community and public engagement initiatives and events as a member of the Public Affairs team, as required.
  12. Serves as a host at the Port Interpretive Centre, welcoming visitors and answering inquiries related to the port and community, as required.
  13. Provides administrative support to other departments, as required.
  14. Performs other executive assistant functions as directed by the Vice President.

WORKING CONDITIONS

  • Regular, full-time position (37.5 hours per week). Regular working hours are Mondays to Fridays, 8:00 AM to 4:30 PM, with 1 hour lunch break (unpaid).
  • Working hours may be varied at times to meet operational needs.
