POSITION SUMMARY

Reporting to the Director, Asset Management, the Asset Management Administrator will ensure promotion of long-term sustainability of managing assets while balancing PRPA’s needs and maximizing financial resources.  The role will also engage asset owners on the evolution of managing all corporate assets cohesively, following industry best practices related to asset management strategy, systems, processes and continuous improvement.

MAJOR POSITION ACCOUNTABILITIES

  1. Progressive experience in strategic physical asset management (linear and vertical), project management and the development of prioritized, evidence-based capital, operational and maintenance budgets via asset level condition, risk and performance condition.
  2. Plan and implement asset management improvements covering business process and standardization, data and information management, and analysis tools and technology systems.
  3. Develop asset management policies, strategies and plans.
  4. Apply asset management standards and best practices.
  5. Collect and leverage infrastructure data and information.
  6. Implement and configure asset management tools and technologies.
  7. Assists in the formulation of the ten year Capital Works Program for PRPA’s infrastructure and Master Planning Studies for PRPA’s Infrastructure Systems (Assets, Roads, Watermains, Sewer, Power).
  8. Responsible for development and maintenance of Capital Asset Inventory Database for PRPA’s Infrastructure.
  9. Leads the development and maintenance of Condition Ratings programs and databases for PRPA’s infrastructure.
  10. Assist with PRPA’s Infrastructure mapping and coordination of its integration into PRPA’s GIS System.
  11. Ensures assets are received, tagged, and entered into the Asset Management System.
  12. Manages, monitors, and directs consultants and contractors working on projects pertaining to asset management and maintenance.
  13. Assists with sustaining the 5S programs (Sort, Set in Order, Shine, Standardize and Sustain) for all facilities under the department’s jurisdiction.
  14. Performs other duties as directed.

WORKING CONDITIONS

  • Works in the office and on the work site.
  • Regular, full time position (37.5 hours per week).
  • Regular working hours are Mondays to Fridays, 8:00 AM to 4:30 PM with a 1-hour lunch break (unpaid).
  • May at times be required to work outside during regular work hours.

SPECIFICATIONS

Formal Education

  • Experience in infrastructure asset management including industry best practices and their strategic applications, and asset management business principles.
  • Certified Asset Management Professional (CAMP) designation or ability to obtain a relevant asset management designation is desirable.

Related Experience

  • Experience designing and implementing an asset management program and policies, project management, data analysis and interpretation, and familiar with performance indicators and measurement.
  • Familiarity with ISO 5500X.
  • A good understanding of project delivery lifecycles, and project management practices.
  • Experience in Asset Lifecycle analysis is an advantage.
  • Knowledge of AutoCAD or preventative maintenance software (e.g., Limble or any similar software) is an asset.

POSITION SUMMARY

Reporting to the Vice President, Public Affairs & Sustainability, the Administrative Assistant provides executive assistant functions and administrative support for the department.

MAJOR POSITION ACCOUNTABILITIES

  1. Maintains the Department’s office records management system and coordinates the organization of the Department’s records.
  2. Maintains a department administrative tracking system for expense claims, business travel, and staff schedules.
  3. Coordinates accommodating visiting delegations to the Port of Prince Rupert, including supporting itinerary development and travel logistics for the department.
  4. Coordinates business meetings, luncheons and other special functions.
  5. Supports the Public Affairs and Sustainability Department travel needs.  Schedules hotel/flight accommodations & procures necessary documentation such as registration, passport and payment process all expense reports.
  6. Provides support services (including coordinating management reporting, budget reporting, coordinating conference and video conference calls, coordinating and scheduling meetings and composing a record of meeting deliberations etc.)  in support of department activities.
  7. Supports coordination of public affairs programs including community information forums, requests for donations and community investment fund applications, and other public engagement initiatives.
  8. Ensures that the department’s Customer Relationship Management database is updated to track communication and engagement with key stakeholders.
  9. Responsible as point of contact for Public Affairs and Sustainability Department in responding to information requests and directing queries to appropriate program leads.
  10. Provides administrative support (including preparing correspondences and undertaking research assignments) to all staff in the Department.
  11. Participates in community and public engagement initiatives and events as a member of the Public Affairs team, as required.
  12. Serves as a host at the Port Interpretive Centre, welcoming visitors and answering inquiries related to the port and community, as required.
  13. Provides administrative support to other departments, as required.
  14. Performs other executive assistant functions as directed by the Vice President.

WORKING CONDITIONS

  • Works predominately in an office environment.
  • Regular, full-time position (37.5 hours per week). Regular working hours are Mondays to Fridays, 8:00 AM to 4:30 PM, with 1 hour lunch break (unpaid).
